Offboarding & Access Revocation (Global Workforce)

Purpose

Reduce risk and ensure a respectful, compliant exit, covering access, devices, data, payroll, and documentation across jurisdictions.

Prerequisites

  • Termination or resignation confirmation (effective date)
  • Offboarding ticket created with assignees (HR, IT, Manager, Payroll)
  • Country-specific final pay rules are available. 

Timeline

T-5 to T-1 (Before Last Day)

  • Manager: Capture knowledge (current projects, passwords moved to vault, customer status).
  • HR: Confirm notice period, benefits end date, and accrued leave policy.
  • IT: Prepare access list (SSO apps, VPN, repos, API tokens).
  • Payroll: Draft final pay estimate (salary to date, leave payout, commissions).
  • Assets: Send device return instructions or schedule a courier pickup. 

T0 (Last Working Day)

  • Access: Revoke SSO, disable accounts, and rotate shared credentials.
  • Data: Transfer owned files to team drives; update document owners.
  • Exit Interview: Collect feedback; remind of confidentiality/IP obligations.
  • Confirmations: Capture offboarding checklist signatures (digital). 

T+1 to T+7 (Post-Exit)

  • Payroll: Issue final pay per statutory timing.
  • IT: Verify device return; perform remote wipe if device is not returned per policy.
  • Security: Remove from email groups, calendars, vaults; close tickets with artifacts.
  • Manager: Reassign work, update the organization chart, and adjust on-call rotations.

Access Revocation

  • SSO disabled
  • Email/GDrive/SharePoint ownership transferred.
  • Repos (Git) + CI/CD tokens revoked
  • VPN, SSH keys, API tokens revoked
  • Shared credentials rotated 

Device & Data

  • Asset returned or remotely wiped.
  • Custody log updated
  • Mailbox/chat archived per retention.
  • Local data deleted; backups verified. 

Payroll & Benefits

  • Final pay processed
  • Benefits terminated/switch options sent.
  • Expense cards disabled
  • Tax documents queued 

Troubleshooting

  • No device return: Trigger security hold, disable accounts, notify legal; withhold final equipment stipend where lawful.
  • Contractor with critical access: Replace with VDI-only until handover is completed.
  • IP concerns: Confirm assignment clauses executed and code/assets transferred.
