Purpose

Create predictable, low-friction collaboration across time zones, minimizing delays and duplicate work.

Principles

  • Write first. Default to documented updates over meetings.

  • Overlap intentionally. 2–3 hours shared beats ad-hoc pings.

  • Handoffs are artifacts. Shift notes live in the system of record.

Standards

Overlap Rules

  • Each team commits to two fixed overlap windows per week.
  • Critical paths (incidents, launches) add temporary overlaps.

Async Writing Norms

  • Start decisions with a one-page brief (context, options, recommendation).

  • Use headers, bullets, and explicit next actions with owners/due dates.

  • Summarize long threads with “TL;DR” at the top.

Meeting Hygiene

  • If a meeting lacks an agenda and desired outcome, cancel it.

  • Record decisions in the brief and link in the ticket/story.

Handoff Protocol (5-Point)

  1. Queue Health: current count, oldest age, SLA risks.

  2. Hot Items: VIP escalations, blockers, and promised callbacks.

  3. Status Links: dashboard, incident page, and docs updated.

  4. Next Actions: owner + time bound (UTC).

  5. Risks & Requests: where help is needed from the next region.

Post the handoff note in the designated channel/ticket before leaving.
